Role Summary
Responsible for providing general administrative and clerical support to the Citizens Private Wealth Tax Services team. The role balances coordination and execution of administrative tasks with substantial time on core clerical work. Success requires excellent organization, accuracy, and the ability to handle multiple priorities in a fast-paced environment.

Primary Responsibilities

General Administrative & Clerical Functions

  • Perform core clerical operations, including filing, scanning, photocopying, and maintaining orderly digital and physical records.
  • Execute data entry and document preparation: enter and validate information in team trackers and templates; create standard letters, labels, and reports.
  • Follow Private Wealth operating practices for record retention, document standards, and custodian-facing interactions as directed by the team. 

Specialized Tax Department Support

  • File tax materials, brokerage statements, and client files; set up new client files when tax information is received.
  • Scan e-file authorization forms, tax returns, and other tax documents.
  • File loose documents into client tax files and prepare next year’s tax files.
  • Prepare correspondence, faxes, and backup information from tax files.
  • Email weekly or bi-monthly tax publications to the Tax Department.
  • Provide administrative and tracking support during busy tax seasons.
  • Assist in the preparation of tax department seminars/classes and maintain a scanned folder of hand-out materials.
  • Prepare FedEx and certified USPS mailings.
  • Manage the organization and cleanliness of the file room.

Qualifications, Education, Certifications, and/or Other Professional Credentials

Required Qualifications

  • Minimum of 1 year of bank/financial services and/or customer-service-related experience (or strong internship/part-time experience with demonstrated reliability).
  • Strong interpersonal, verbal, and written communication skills; positive, customer-focused mindset.
  • Proven attention to detail; ability to analyze information, solve problems, and make independent decisions on routine matters.
  • Exceptional organization and ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and basic office equipment; comfort with data entry and filing systems.
  • High school diploma or GED required (Associate’s or Bachelor’s accepted in lieu of some experience).

Preferred Qualifications

  • Prior support experience in wealth management, investment advisory, tax services, or private client environments.
  • Familiarity with record management practices (e.g., client-facing forms, custodian workflows).
  • Demonstrated customer-centricity, issue resolution, and personal initiative reflected in past roles or projects.
  • Demonstrated consistency and dependability in employment history.

Hours & Work Schedule

  • Hours per Week: 40
  • Work Schedule: M-F 8:30–5:30 PM ET 100% in the office; required OT including evenings and/or some Saturdays during peak tax cycles as needed.

Pay Transparency 

The salary range for this position is $23 - $25/per hour.  Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
