The Home Mortgage Post Closing Specialist - Correspondent Final Documentation Specialist is responsible for obtaining, verifying, auditing, and clearing final loan documents to ensure compliance and accuracy. This role involves direct communication with lenders, title agents, and internal stakeholders to resolve discrepancies, manage reporting, and maintain document integrity throughout the post-closing process.

Key Responsibilities Document Management & Review

  • Obtain final documents such as Title Policies, Security Instruments, Scrivener’s Affidavits, Assignments to MERS, and Loan Modifications/CEMAs.
  • Audit documents for accuracy against MyFAMC records using checklists and escalate discrepancies.
  • Identify and log deficiencies, request corrections, and track resolution.
  • Upload and manage electronic documents (e-docs) in Blackbird.

Reporting & Communication

  • Generate and distribute monthly Outstanding FinalDocs Reports (ODR) and Hotlist Reports for aged loans.
  • Maintain and update the Deficient Documents Report and Problem Loan Document Tracking spreadsheet.
  • Participate in quarterly Correspondent Progress Report (CPR) meetings by providing aged loan status updates.
  • Communicate with lenders regarding missing or deficient documents, repurchase notices, and termination follow-ups.

System & Application Use

  • Utilize internal and external systems to manage post purchase records. 
  • Maintain accurate records in the Final Docs Communication & Deficiencies section.
  • Prepare and manage scan sheets and print jobs for physical document processing.

Mail & Document Handling

  • Receive and process mailed final documents and e-docs.
  • Manage Corrections Basket for re-recorded or corrected documents.
  • Return documents to lenders as needed, ensuring proper documentation and tracking.
  • Ability to lift upwards of 20 pounds

Specialized Tasks

  • Prepare and record Assignments of Mortgage and Mortgage Release documents when necessary.
  • Review and request corrections to Title Policies based on document updates.
  • Review and request Note and Allonge to Note corrections when necessary.
  • Handle Repurchased Loan Notices and ensure proper document return and system updates.

Qualifications

  • 2+ years of experience in mortgage post-closing or document review.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and document management systems.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple priorities.
  • Ability to work in a fast-paced environment and meet deadlines 
  • High level of concentration while working repetitive tasks 
  • Professional demeanor 
  • Ability to work outside normal business hours, if needed 
  • Must demonstrate commitment, dependability and respect for other employees with regular attendance, punctuality and adherence to agreed-upon schedule
  • High school diploma or equivalent; college degree preferred.

Preferred Skills

  • Knowledge of GSE post purchase requirements.
  • Knowledge of mortgage documentation and title policies.
  • Experience with regulatory compliance in mortgage lending.

Work Hours and Schedule

Hours per Week: 40

Work Schedule: Monday-Friday (Hybrid 4 days a week, 1 day remote)
