Business Support - Operations

Corporate and Administrative

Johnston, Rhode Island; Westwood, Massachusetts

Description

We are seeking a highly organized and detail-oriented professional to serve as a Business Support Specialist

This role combines project coordination, data analysis, financial management and project/leadership administrative support for the Operations Transformation Team. The ideal candidate will have experience working with senior leadership, managing multiple priorities, and contributing to high-impact initiatives. This is an excellent opportunity to work closely with cross-functional teams, while developing relationships that value your input and execution.

You will be responsible for coordinating and managing the day-to-day running of this Operations area. Typical activities include incident management tracking, resource management, light project tasks and support. You may also be responsible for budgeting, forecasting, and monitoring costs and may also be involved in strategic business planning and change management initiatives. This is a great opportunity to build your knowledge of the company, processes and customers when liaising with the other business areas such as human resources, legal & compliance, and business partners.

What You’ll Do

  • Own multiple projects and workstreams end-to-end, from planning through execution and follow-up
  • Act as a proactive partner to leadership, anticipating needs and identifying gaps before they become issues
  • Drive day-to-day operational cadence by tracking deliverables, managing priorities, and ensuring accountability
  • Build and maintain Excel-based financial tracking (budgets, forecasts, reconciliations, vendor spend)
  • Create executive-ready PowerPoint materials to clearly communicate updates, risks, and recommendations
  • Identify inefficiencies and design or improve processes, tools, and workflows (SOPs, trackers, reporting frameworks)
  • Serve as a connector across technology, agile teams, finance, and leadership, ensuring alignment and momentum
  • Proactively manage risks, dependencies, and issues, proposing solutions—not just raising concerns

How You’ll Be Successful

  • You bring a problem-solving mindset, working through challenges independently and escalating only when necessary
  • You identify or anticipate what needs to be done and take action
  • You are able to manage multiple priorities simultaneously without losing detail or momentum
  • You quickly absorb information and execute without repeated direction
  • You are comfortable operating in fast-paced, sometimes ambiguous environments

Key Responsibilities

  • Lead and manage project coordination activities across multiple initiatives, ensuring timely execution
  • Establish and maintain clear tracking structures for priorities, budgets, and deliverables
  • Monitor and report on initiative progress, financials, risks, and issues
  • Build strong stakeholder relationships and act as a consultative support partner
  • Contribute to continuous improvement efforts, identifying opportunities to streamline operations
  • Support execution of change management and strategic initiatives
  • Maintain accountability across initiatives by ensuring follow-through and visibility

Qualifications

  • 2+ years of experience in project coordination, operations, business support, or similar roles
  • Demonstrated ability to manage multiple projects end-to-end with minimal oversight
  • Intermediate experience with:
    • Excel (budget tracking, reporting, reconciliations)
    • PowerPoint (executive-facing presentations)
  • Proven track record of proactive problem solving and independent execution
  • Experience working with senior stakeholders or leadership teams
  • Strong ability to prioritize, organize, and drive work forward without constant direction
  • Preferred
    • Experience in transformation, operations, or agile environments
    • Financial services or banking exposure
    • Experience using automation or AI tools to streamline work

Ideal Candidate Profile

  • Proactive operator, not a reactive task executor
  • Comfortable owning workstreams and driving outcomes independently
  • Strong at connecting details to broader business objectives
  • Thrives in an environment where priorities shift and initiative is expected

Education, Certifications and/or Other Professional Credentials

  • Bachelor’s degree in a related field or equivalent education/experience required

Hours & Work Schedule

  • Hours per Week: 40
  • Work Schedule: Monday - Friday
  • Hybrid: 4 days per week on-site (Johnston, RI or Westwood, MA), 1 day remote
