Description
In the Senior Executive Assistant role, this person will be a critical team member in executing the strategies and activities related to growing the Citizens Wealth business. This requires high attention to detail and quality, excellence in communication, a focus and commitment to results, and the willingness to put in the additional effort for a flawless outcome.
Directly supporting the President of Wealth, the Senior Executive Assistant will have the ability to work independently on and manage multiple projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Duties include scheduling of appointments, preparation of external / internal correspondence, telephone/visitor screening, arranging complex and detailed travel arrangements, coordination of meetings and receptions, preparation of presentation materials, maintenance / filing of documents, preparation of expense reports, and inbox management. May perform ongoing maintenance to various data bases and generate reports. Assist in arranging large colleague meetings/events including senior leadership staff and travel to facilitate these meetings.
Primary responsibilities include;
- Manage multiple projects simultaneously/in a timely manner.
- Plan, coordinate, and facilitate internal/external meetings, conference calls, and domestic travel.
- Schedule management for Senior Leadership staff.
- Displays excellent communication skills in working with clients (internal/external), and vendors.
- Reports and presentations including advanced graphics
- Accurately tracks expenses/process and submit expense reports in a timely manner.
- Distributes agenda, meeting packages, and responsible for meeting minutes.
Qualifications, Education, Certifications and/or Other Professional Credentials
- 5+ years of Prior Executive Administrative experience supporting leaders in large organizations and calendar management
- Competent use of Microsoft Office applications to include Microsoft Project, Excel, Teams, Visio, PowerPoint, Word and Outlook, SharePoint knowledge a plus
- Work effectively as part of a team in a fast-paced environment
- Tech savviness – ability to learn new software quickly and effectively
- Initiative and can-do attitude – able to take on any other responsibility or project as assigned
- Flexibility to work on a variety of projects and teams simultaneously
- Strong prioritization and problem-solving skills
- Attention to detail and sensitivity to deadlines
- Effective communication skills, both written and verbal
- Strong project management skills
- Bachelor’s Degree preferred
High School Diploma required
Hours & Work Schedule
- Hours per Week: 40
- Work Schedule: M - F 8:00am - 5:00pm with flexibility to support other time zones.
- This role will primarily be in the office with the ability to work from home occasionally.
Pay Transparency
The salary range for this position is $40 - $55 per hour. Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
