The Operations Support II role is responsible for the intake, processing, scanning, and storage of final loan documents within the Correspondent Final Docs department. This position ensures accurate handling of sensitive documents, maintains compliance with internal and external storage protocols, and supports the overall efficiency of post-closing operations.

Key Responsibilities: Document Intake & Processing

  • Receive and log daily mail from FedEx, UPS, USPS, and interoffice sources.
  • Verify and distribute packages based on manifest and recipient.
  • Process closed loan returns and handle original Notes and Allonges appropriately.
  • Maintain daily production logs and mail manifest records.

Document Scanning & Validation

  • Prepare and scan final documents using scanning software.
  • Troubleshoot and resolve common scanning errors (e.g., jams, misfeeds, barcode issues).
  • Validate scanned batches and ensure accurate indexing of documents.
  • Maintain scanner equipment and coordinate repairs with TPO Support and Imaging Support teams.

Document Management

  • Staple, sort, and store scanned documents by investor.
  • Purge unpurchased or paid-in-full documents according to retention policies.
  • Create and manage offsite storage boxes for FNMA and FHLMC loans.
  • Track and update box records in offsite storage applications and internal tracking systems.

Offsite Storage Coordination

  • Add, update, and retrieve box records from offsite storage.
  • Coordinate bulk pickups, permanent withdrawals, and quarterly inventory checks.
  • Maintain detailed logs and reports for all offsite storage activities.

Note Return Processing

  • Process original Note return requests due to non-purchase or delivery errors.
  • Generate and verify shipping labels, update tracking systems, and notify stakeholders.
  • Ensure compliance with document handling and return protocols.

Required Skills & Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • 1–2 years of experience in document processing, records management, or mortgage operations is preferred.
  • Proficiency with Microsoft Office Suite and document management systems.
  • Strong attention to detail and organizational skills.
  • Ability to work in a fast-paced environment and meet deadlines
  • Ability to handle confidential information with discretion.
  • Effective communication and time management skills.
  • Ability to thrive in a team environment and achieve goals
  • High level of concentration while working repetitive tasks
  • Ability to work outside normal business hours, if needed
  • Proficient data entry skills

Work Environment:

  • Office-based role with frequent use of scanners, computers, and filing systems.
  • May require lifting boxes up to 50 lbs and standing for extended periods during scanning or filing.
  • Ability to remain seated for extended amounts of time while working on a computer and scanner
  • Long periods of viewing data on a computer screen and/or paper are a necessity

Performance Metrics:

  • Accuracy and timeliness of document scanning and validation.
  • Compliance with document retention and destruction policies.
  • Efficiency in mail intake and offsite storage coordination.
  • Responsiveness to Note return and retrieval requests.

Hours: 8am-5pm, M-F

Onsite 5 days per week, not a remote position.
