The ideal candidate for this role will be a proactive, highly engaged professional with a track record of providing outstanding executive support, possessing exceptional interpersonal and organization skills, and demonstrating the ability to thrive in a fast-paced and dynamic environment. Under general supervision and self-initiation, the chosen individual will perform diverse, advanced project and administrative duties and manage high level tasks for the Head of the Contact Center and Retail Network Transformation to include:

  • Acting as the point of contact among executives, colleagues, clients and other external partners
  • Managing information flow in a timely and accurate manner including liaising with key stakeholders
  • Preparing and organizing meetings, including drafting agendas, taking meeting minutes and ensuring follow-up on action items
  • Aligning executives’ time with key business objectives
  • Participating in calls, meetings, planning & problem-solving sessions to provide insights, resources, and aid in development of necessary documents for follow-up and execution, often in representation of the Head of the Contact Center & Retail Network Transformation
  • Obtaining regular updates and prepare workstream status reports for key projects and initiatives
  • Presenting information to team members clearly and concisely, anticipating needs, and addressing any questions or concerns
  • Preparing, reviewing, and composing correspondence and executive presentations including those with confidential and sensitive information
  • Staying informed on industry trends, organization developments and executive priorities
  • Analyzing data and producing insights to optimize performance, identify problems and shortfalls, and propose solutions
  • Preparing, reviewing, and maintaining project documentation and reports
  • Coordinating daily schedules, travel arrangements, and expense reporting

Required Skills/Experience

  • 5+ years of experience in senior level administrative support role- required
  • Proactive mindset, with the ability to anticipate needs and take initiative/proactively addressing potential issues
  • Self-starter with the ability to work with limited supervision
  • Excellent interpersonal skills including building and maintaining stakeholder relationships
  • Strong critical thinking and problem-solving skills including the ability to adapt to changing priorities
  • Resourceful and adaptable in a fast-paced environment
  • Exceptional attention to detail and accuracy
  • Strong sense of accountability and ownership of tasks and projects
  • Demonstrated ability to manage multiple competing priorities simultaneously and prioritizing effectively 
  • Excellent organizational, time management, communication, and planning skills
  • Team player with strong influencing skills and willingness to go above and beyond to ensure the success of the executive team
  • Advanced MS Outlook, intermediate MS PowerPoint, MS Excel and MS Word skills

Hours & Work Schedule

  • Hours per Week: 40 Hours
  • Work Schedule: Monday - Friday 8am-5pm
