Description

The Properties Event Manager is responsible for planning, organizing, and overseeing every detail of an event, including selecting menu/ décor, managing budgets, coordinating vendors, and ensuring the smooth flow of the day. This requires strong organizational skills, attention to detail, and excellent communication skills. The successful candidate oversees all events that occur within any of the event spaces at the Johnston Campus, consisting of all first-floor large spaces: Café, Conference and Training rooms, and other flexible spaces. The role will also be the Citizens rep and single point of contact for the local Johnston community and parks if needed, as well as the event host inside back offices.

Key responsibilities of an event coordinator:

  • Developing and adhering to event budgets and tracking expenses.
  • Identifying and contracting with vendors as needed.
  • Coordinating guest lists, managing registrations, and coordinating all aspects of the event from concept to execution.
  • Managing and assisting in managing meetings.
  • Overseeing event staff, including site crews, to ensure smooth operations. Cross-functional teams support all events from within the Property, Real Estate Operations team.
  • Maintaining clear communication with clients, vendors, and internal stakeholders throughout the event planning process.
  • Ensuring the venue is set up according to the plan of the day or to maintain seamless experience.
  • Evaluating the event’s success, gathering feedback, and preparing post-event reports.
  • Handling last-minute changes and solving problems as required by management, even if these tasks are not part of their regular day-to-day responsibilities.

Required skills for an event coordinator:

  • Ability to manage multiple tasks simultaneously and maintain meticulous attention to detail.
  • Excellent communication skills to interact effectively with clients, vendors, and staff.
  • Ability to work independently, manage teams, and make decisions under pressure.
  • Understanding of basic event elements and requirements that meet the client’s needs.
  • Negotiating with vendors to ensure contracts and agreements reflect the needs of the event.
  • Experience in distribution management systems aligning operations.
  • Familiarity with event management software, online registration platforms, and audiovisual equipment.

Education and experience:

  • High School diploma or GED required.
  • Bachelor’s degree in hospitality management, event planning, marketing, or a related field preferred.
  • Prior experience in event planning or coordination beneficial.

Hours & Work Schedule:

  • Hours Per Week: 40
  • Work Schedule: Monday – Friday, occasional weekend events as needed.
